How to Book a Conference Room

This article will teach a user how to create a meeting and book one of many conference rooms.

In order to create a meeting, and book a conference room,

Step One - Open your Outlook and navigate to your Calendar.

 

Step Two - Create a new meeting.

 

Step Three - Fill out the pertinent information and select the "location" bar. Type the word "conference" without quotations.

PLEASE NOTE!     

There are (4) conference rooms to choose from, as indicated by the location

(2571 means 2571 Kaneville Court)

(8250 means 8250 Bryan Dairy Road)

2571 Front Conference Room (Illinois)
2571 Back Conference Rooms (Illinois)
2630 Conference Room (Illinois)
8250 Conference Room (Largo)


Step Four
- Select the proper conference room, for the date and time requested. If the date and time in the meeting details are adjusted, the conference rooms will update in real-time to reflect if they are occupied at that time or not.

 

Step Five - Select "In Person" event, if the meeting is to have no virtual elements (I.E. Microsoft Teams) included, and all users are required to be on-site.

 

Step Six - Click "Send" at the top, and the invitations will be sent. As-well, Microsoft Office will automatically take the requested time, and show the conference room you've selected, to be unavailable. This will prevent multiple users from booking the same time in the same room.
